Run a report

You can easily measure bookings from a particular channel, track a promotion or analyse booking data using the Reports page from your Booking Engine Extranet.

To run and export a report:

  1. Click on the Reports tab

  2. Select Summary, Detail or Room Rate Details

    • The Summary tab will produce a summarised report with combined results.

    • The Detail tab will produce a detailed report listing each booking individually.

    • The Room Rate Details tab will produce a summarised report with each room rate individually.

  3. Set Filters

  4. Click the blue Reports button to view the report in the booking engine

Your report results will appear on the page.


Please Note : Guest information is masked 180 days after the reservation check out date.

Export a report for additional details

You can export the results as a .CSV file (Comma Separated Values) to view in Excel or similar software.

After you run a report, you can click Export in the bottom-right of the page.

The exported file will have additional columns with further details.

For example, the column Device used will tell you what device your customer used when making the reservation, and therefore can be used to easily locate which bookings were made using a mobile device.

Also, GDPR consent will be part of the fields visible when you export the report.
If a customer has given their consent, this field will be populated. If it is empty, this means the customer has not consented.

Please note: The "Requested newsletter" field in the reports is a legacy option, and will not show anything with the new Booking Engine.

Filters for the reports

You can apply filters to reports to narrow down the information returned, making it easier to find useful information:

  • Date Type - the date type affects the information returned within the date period set

    • Check in - filter bookings by the date/s the guest will check in

    • Booked - filter bookings by the date/s they were booked

  • Date from / Date to - sets the date range for the report

  • Property - filter bookings by property (if applicable)

  • Channel - view bookings from specific channels; e.g. Direct, Mobile, or TripAdvisor

  • Promotion Code - view bookings that were made with a specific promotion code

  • Campaign Source - view the source from where your guests accessed the booking page, for example, Google. This filter is only visible if at least one booking is made from a source other than the direct Booking Engine link

For example, if you wanted to see how many bookings were made through your TripAdvisor channel in the last 3 months, you would set the filters as follows:

  • Date type = Booked

  • Date From = 1/1/2014

  • Date To = 1/4/2014

  • Status = All

  • Property = All

  • Channel = TripAdvisor

  • Promotion Code = All

Run and export TripAdvisor reservations report

If you have integrated the Booking Engine with the TripAdvisor plugin, you can run and export a TripAdvisor report from your booking engine:

  1. Click the Reports tab in the upper-left of the page

  2. From Booking Summary , Booking Details and Room Rate Details , click on the report type you want

  3. Enter a date-range for reporting

  4. Select TripAdvisor Connect from the Channel drop-down list

  5. Click Report to run the report. The report is displayed in your booking engine extranet

  6. Click Export at the bottom of the page to download the report in .csv format for opening in Microsoft Excel or Apple 's Numbers application

There are also reports available from the TripAdvisor website. Registered properties that use Review Express can analyse the performance of their review collection campaigns via the Review Express Dashboard in the TripAdvisor Management Centre. This Dashboard gathers data from each of their Review Express campaigns into a single, easy-to-digest page, that enables hoteliers to determine how effective their email campaigns have been.
