Important to know:

  • Little Hotelier Payments is our official payment processing solution, and it includes our official payment gateway.

  • If our official payment gateway is not available in your country, you can use a third-party payment gateway instead.

  • To access Little Hotelier Payments, go to My apps > Payments.

  • Some features of our payments processing solution are only available with our official payment gateway.

  • With our official payment gateway, you can:

    • automatically process payments at the time of booking (provided you have set up automatic deposits)

    • manually process reservation payments

    • process refunds

    • request payments

What is Little Hotelier Payments?

Little Hotelier Payments is our official payment processing solution, providing a quick, easy, and secure way to process payments via your Little Hotelier Front Desk.

Little Hotelier Payments eliminates the need to process payments from a separate point-of-sale terminal or merchant account and then manually record the payment in the Front Desk , saving a huge amount of time and hassle for both you and your guests.

And through its built-in payment gateway, you can process reservation payments and refunds manually, send payment requests to your guests, and set up automated deposits for reservations, with payments transferred straight to your nominated bank account without any manual processes involved.


Is Little Hotelier’s official payment gateway available in my country?

Our official payment gateway is currently available to Little Hotelier customers located in the following countries:

💡 If our official payment gateway is not available in your country, you can use a third-party payment gateway instead, such as Paypal and Paystack. However, please note that their availability and terms of use vary.


How do I apply for Little Hotelier Payments?

To apply for Little Hotelier Payments, our official payment processing solution, please follow these steps:

  1. Inside your Little Hotelier Front Desk, navigate to the Setup Tab.

  2. Click on Set up Payment Gateways.

  3. On the application form, enter your property details ( Business details ) and Bank account details.

  4. Complete account verification with Stripe — verify your identity by providing a proof of identity document.

  5. Review your information, then click on Submit.

  6. We will let you know if your application was successful within 1–2 business days, and if it is, your Little Hotelier Payments account will be activated within the following 72 hours.

💡 Activating a Little Hotelier Payments account is similar to setting up a financial product, so your property may be subject to review before approval. If it is, we will contact you with the approval outcome in 1–2 business days.


How does it work?

Once Little Hotelier Payments has been activated, whenever you process a guest check-out, you will have the option to collect their payment directly via the Little Hotelier Front Desk. Here is how to do it:

  1. Go to My Apps > Front Desk > on the Calendar or Reservations page, search for and open the relevant reservation.

  2. Click on Process Payment.

  3. Enter the payment Amount (by default, the full outstanding balance will be shown), or tick Deposit to take a deposit.

  4. Enter the payment card details (or use the saved payment card details, if available).

  5. Click on Process.

💡 Payment processing times vary according to your bank and where you are located.


How much does it cost?

There are no setup fees, monthly fees, or cancellation fees with Little Hotelier Payments, and fees charged for refunds are returned. We only charge a fee per transaction.

Fees vary according to your country, the credit card payment network (MasterCard, Visa, etc), and the type of card (domestic, international, or premium) used for the transaction. To see which fees are applicable to your property, refer to your Little Hotelier Payments activation form.

Please note that international and premium cards may incur a greater transaction fee. Premium cards are as follows (please note that not all cards may be available in your country):

  • American Express

  • China UnionPay

  • Discover & Diners Club

  • Japan Credit Bureau (JCB)

  • Virtual Credit Cards

  • Commercial cards


I used to use Stripe in Little Hotelier, how is this different?

You can still process payments through your Little Hotelier Booking Engine and Front Desk the same way you did with Stripe, but all of your reporting and payment information will be handled by Little Hotelier Payments instead of a third party.


What payment methods does it accept?

Little Hotelier Payments accepts all major credit cards, including:

  • Visa

  • MasterCard

  • American Express (not available in Malaysia)

In some regions Little Hotelier Payments also accepts:

  • JCB

  • Union Pay

  • Discover

  • Diners Card

💡 Note:

  • You can also process virtual credit cards (VCCs) provided to you via online travel agents (OTAs).

  • A digital wallet can be used when a Deposit is required for a booking made via the newest version of the Booking Engine.


What currencies does it accept?

Little Hotelier Payments currently accepts payments in the main currency used by the country your property is located in.


How do I update my bank account details?

A user with Admin access must e-mail Little Hotelier Support and submit the following security information:

  • The registered Legal Business name used for the Little Hotelier Payments account

  • The account number of the currently registered bank account.

  • The reason for the update.

  • The updated bank account details.

  • The date of the bank account update.


Who can make changes to my account?

General users with the Guest payment details permission enabled can do the following:

  • Process payments

  • Reveal credit card details

Admin users with full access to your Little Hotelier Payments account can also do the above as well as the following:

  • Activate Payments

💡 To prevent a General user viewing information about your payments, untick their Guest payment details permission.


What reservation payments can I process?

All of them. No matter the situation, the process is very simple.

If you already have the guest’s payment card details attached to their reservation in your Little Hotelier Front Desk — maybe because it was provided by an online travel agent, for example — all you need to do is find and open the reservation, then click on Process Payment.

If you do not have a guest’s payment card details attached to their reservation in your Little Hotelier Front Desk , but you do know them, you can instead click on Process Payment and add them to the reservation’s form.

And if you do not have and do not know the guest’s payment card details, just click on Send Payment Request.


Can I process a payment for something other than a reservation?

You can process all sorts of manual payments using the Payment terminal, which can be accessed in My Apps > Payments > Payment terminal.

💡 The Payment Terminal feature can only be used with our official payment gateway


How do I process refunds?

In the Calendar or Reservations tabs of your Little Hotelier Front Desk , find and open the reservation that you want to process a refund for > click on Payments > select Refund and confirm the refund amount.

There are no fees for processing refunds via Little Hotelier Payments; all fees that were associated with the reservation payment will be refunded.

Refunds must be issued within 60 days of processing a payment.

💡 To refund a charge made via the Payment terminal , go to My Apps > Payments > Transactions tab > click on the transaction you want to refund, then click the Refund button.


How long do I have to process a payment or refund for a reservation?

For our official payment gateway

You must process a reservation payment or refund no later than seven days after checkout, at which point the guest’s payment card details will be permanently deleted in Little Hotelier, as required by the Payment Card Industry Data Security Standards PCI DSS).

For third-party payment gateways

Please refer to each third-party payment gateway’s security policies, and make sure yours is in compliance with PCI DSS.


How soon will I get my money after a transaction has been processed?

Your Little Hotelier Payments’ Account balance, which is the sum of all funds received from guests during the present day — including adjustments but minus refunds — should be paid out to your property once per day, however this may vary according to your bank and the country your property is located in.

The estimated payout times for the countries where our official payment gateway gateway is available are listed below:

  • Australia: within two business days

  • Austria: within three business days

  • Belgium: within three business days

  • Bulgaria: within three business days

  • Canada: within three business days

  • Croatia: within three business days

  • Cyprus: within three business days

  • Czech Republic: within three business days

  • Estonia: within three business days

  • Finland: within three business days

  • France: within three business days

  • Germany: within three business days

  • Greece: within three business days

  • Ireland: within three business days

  • Italy: within three business days

💡 The processing times of third-party payment gateways vary greatly.


How can I view a summary of transactions?

Go to My Apps > Payments > Transactions tab.


What is Auto top up?

If the Auto top up feature is enabled and your Little Hotelier Payments account balance reaches zero or below, the necessary funds will be automatically transferred from your bank account to your Little Hotelier Payments account automatically — provided you have the sufficient funds — and you can continue processing refunds via the Transactions tab.


Can I process a payment using a virtual credit card (VCC)?

Yes, Little Hotelier Payments supports payments with VCCs; they can be charged in mostly the same way as standard credit cards.

Please bear in mind, however, that channels have varying policies regarding when VCCs can be charged, and that you always need to process the exact amount on the VCC (so no surcharges, no extra items, and so on).


What is a payment request?

With Payment requests, a feature available with our official payment gateway in Little Hotelier Payments, you can ask a guest to process a payment using an accepted payment card via a secure webpage.

💡 The Payment request feature can only be used with our official payment gateway.


What is a chargeback?

A chargeback is a refund processed by a cardholder’s bank or card issuer to reverse a payment made using a credit or debit card.

If a bank or card issuer initiates a chargeback for a payment dispute on behalf of one of your customers or guests, the disputed amount will be withdrawn from your Little Hotelier Payments balance immediately.


How can I access my monthly Little Hotelier Payment invoices?

Invoices for the prior month are available from the third business day of each month, and can be accessed by following these steps:

  1. Navigate to your Little Hotelier Payments Dashboard (My Apps > Payments).

  2. Click on the profile icon in the top right corner of the Payments Dashboard.

  3. Click on Invoices.

  4. Click Generate on the relevant invoice — this will send it to the email address registered with your Little Hotelier Payments account.
