💡 Important to know:

  • Little Hotelier Payments is our official payment processing solution, and it includes our official payment gateway.

  • The Payment terminal can only be used with our official payment gateway; it is not compatible with third-party payment gateways.

  • To access the Payment terminal in Little Hotelier Payments, go to My apps > Payments > Payment terminal tab.

  • The Payment terminal is used to process credit and debit card payments through a web browser when manual payments are required, such as walk-in payments, ad-hoc payments, and so on.

  • When you process a payment using the Payment terminal , taxes are not added and promotions are not discounted. You must therefore calculate the applicable taxes and promotions yourself and apply them to charges accordingly.

What is the Payment terminal?

💡 The Payment terminal can only be used with our official payment gateway; it is not compatible with third-party payment gateways.

The Payment terminal is used to process credit and debit card payments through a web browser when manual payments are required, such as walk-in payments, ad-hoc payments, and so on. No hardware, reader, or apps are required.

Why is the Payment terminal useful?

  • Process payments in seconds.

  • Issue refunds without incurring fees for either your property or your guests.

  • Accept all major domestic and international credit and debit cards.

  • Handle ancillary payments as well as non-guest payments: food and beverage, activities and tours, merchandise, et cetera.

  • View a comprehensive log of transactions (charges and refunds) via My Apps > Payments > Transactions.

Who can use the Payment terminal?

The Payment terminal is available to properties that have activated the official Little Hotelier payment gateway; it cannot be used with third-party payment gateways.

Which payment methods does the Payment Terminal accept?

The Payment terminal accepts all major credit and debit cards, including Visa, MasterCard, and American Express.

How do I take a manual payment using the Payment terminal?

  1. Go to My Apps > Payments > Payment terminal tab.

  2. Enter a Description of the charge.

  3. Enter the Amount, in your local currency, to charge for the payment.

  4. If you wish, enter an optional Surcharge Amount or Percentage to charge the cardholder.

  5. Enter the the card details provided by your guest:

    • Card Number

    • Name on card

    • Expiry Date

    • Security Code (optional)

  6. Click on Process Payment.

If the payment is processed successfully, the message ‘Payment Successful’ will be shown — if necessary, you can print a payment receipt and send it to your guest via email by following the instructions in the below section titled ‘How do I generate a payment or refund confirmation via the Payment terminal?’.

To double check that the payment was processed successfully, look for it in My Apps > Payments > Transactions tab. If it was successful, the payment will be visible.

How do I refund a payment taken via the Payment terminal?

  1. Go to My Apps > Payments > Transactions tab.

  2. Search for a transaction, then click it to open its details.

  3. Click on the Refund button.

  4. Enter the Amount to refund, whether full or partial.

  5. Click on Process refund.

If the refund is processed successfully, you will see the message ‘Refund Successful’. You can print a refund receipt and send it to your guest via email, if necessary.

To double check that the refund was processed successfully, look for it in My Apps > Payments > Transactions tab. If it was successful, the payment will be visible.

⚠️ Note:

  • Refunds must be issued within 60 days of processing the original payment.

  • You must process refunds within seven days of the guest checking out.

  • Guest payment card details are deleted from the platform seven days after check-out, and cannot be recovered — this is done to comply with the Payment Card Industry Data Security Standards (PCI DSS) and General Data Protection Regulation (GDPR).

  • It can take 5–10 business days for a refund to appear on the cardholder's bank statement.

  • Once a refund has been processed, it cannot be reversed.

How do I generate a payment or refund confirmation via the Payment terminal?

  1. Go to My Apps > Payments > Transactions tab.

  2. Click on the relevant transaction.

  3. Click on the Print Confirmation and/or Email Confirmation button(s); when selecting the latter, enter the email address that you want the confirmation to be sent to.

Does the Payment terminal calculate taxes and promotions?

No, when you take a payment using the Payment terminal, taxes are not added and promotions are not discounted. You must therefore calculate the applicable taxes and promotions yourself and apply them to charges accordingly.

What are the fees for using the Payment terminal?

There are no monthly fees, setup fees, or terminal fees with the Payment Terminal, however you will be charged a transaction-based fee for using it, as per your Little Hotelier Payments agreement.

Can I tap or swipe cards to enter details into the Payment terminal?

No, the Payment terminal is accessed in Little Hotelier via a web browser — card details therefore need to be manually entered using your keyboard.
