💡 Important to know:

  • Little Hotelier Payments is our official payment processing solution.

  • To view and manage guest transactions made through Little Hotelier Payments, go to My Apps > Payments > Transactions tab.

  • Transactions can only be accessed if you have signed up to and enabled Little Hotelier Payments.

Introduction to Transactions

The Transactions tab features a dashboard which lists all charges and refunds made through Little Hotelier Payments.

Each transaction can be expanded to see more of its details, such as its Status , Amount , Source , and so on.

Access Transactions

  1. Go to My Apps > Payments > Transactions tab.

  2. A dashboard will be displayed featuring all guest transactions made through Little Hotelier Payments, including the Transaction type ( Charge or Refund ) — click on any transaction to view it in more detail (as described in the following section).

💡Note:

  • Recorded transactions for payments that have been processed outside of Little Hotelier — for example, those made using cash or an EFTPOS machine — are not included on the Transactions dashboard.

  • To view recorded transactions for a reservation, open your Little Hotelier Front Desk , go to the Calendar page or Reservation page, find a reservation and open it, then go to the Payments tab to view its associated transactions (charges, refunds, recorded transactions).

View transactions in more detail

Once you click on a transaction, the following details will be visible:

Payment details

  • Status — this will be one of the following:

    • Succeeded — the transaction (charge) was completed successfully, and the funds will be added to your Account balance soon.

    • Refunded — the transaction (refund) was completed successfully, and the funds will be returned to the payer’s bank account soon. (Note: this status also applies to charge transactions that have been fully refunded.)

    • Failed — the transaction was unsuccessful, and the funds will not be transferred.

  • Amount — the total amount of the reservation payment.

  • Fee — the Little Hotelier Payments fee incurred for the reservation payment.

  • Source — the source of the reservation (i.e. Front Desk or Payment Terminal ).

  • Reservation ID — the identification number of the reservation that this transaction relates to.

  • Transaction ID — the identification number of this transaction.

  • Associated payout — if this transaction has not been paid out, this field will say ‘To be generated’; if it has, the field will instead contain a link to the payout.

  • Amount available for refund — the payment amount that can be refunded.

To print this page, click on the Print confirmation button.

Card details

Only Admin users and General users with specific permissions can view the full payment card details for reservations.

💡 Some card details and transactions created before Little Payments was launched in January 2019 may not be included on the Transactions dashboard.

Associated refunds

If any refunds have been made for the transaction you are currently viewing, whether partial or full, they will be listed in this section.

💡 Note:

  • To refund a charge made via the Payment terminal , click on the transaction you want to refund, then click on the Refund button to open a page which you can use to make a partial or full refund.

  • To refund any charge made outside of the Payment Terminal, go to your Front Desk on the Calendar or Reservations page > find and open a reservation > Payments tab > click on Refund.

Filter and export transactions

To filter your transactions data, click on the Filters button and select from the following:

  • Search — filter by name or reservation number.

  • Date range — filter by reservation start or end date.

  • Amount — filter by a minimum amount, maximum amount, or both.

  • Type — filter by Refund or Charge.

💡 You must at least apply the Date range filter before exporting your transactions data.

To export your Transactions data, select the necessary filter(s), click on Apply , then click on Export to download a .CSV file to your computer. You can open this file using spreadsheet software.
