Types of rate plans

You can have multiple rate plans for one room type. These rate plans can vary based on things like cancellation policies, meal options, and length of stays. There are three different types of rate plans available:

Standard rate plan

When you create a new room type, a standard rate plan is created automatically for you. This rate plan is configured to carry over the rack rate (highest seasonal rate) and extra adult/child/infant rates set on the room type level).

💡 In your direct booking engine, the rack rate is called the Full rate.

⚠️ This rate plan cannot be deleted unless you delete the room type.

Derived rate plan

This is the most common type of rate plan created, it takes its rate from the standard rate plan for the room type. Derived rate plans are for rates that are a specific amount or percentage cheaper or more expensive than your standard rate for the same room. Whenever you update the prices for the standard rate, the derived rates will also adjust accordingly.

➕ For example, if you have a Single room type, and you offer it with or without breakfast, resulting in two rate plans:

  • Standard Rate for the Single room

  • Bed and Breakfast Rate for the Single room

You manually set the standard rate and can change it daily, and breakfast costs an extra 20.
To keep things simple, you can make the bed and breakfast rate consistently 20 euros higher than the standard rate. This means that, if the standard rate for a weekday is 100, the bed and breakfast rate for the same day would be 120.

⚠️ You will not be able to directly update the rates of a derived rate plan on the Inventory page as the rate will always depend on the standard rate plan for the room type. To modify a derived rate, you will need to edit the rate plan.

Independent rate plan

Independent rate plans are managed individually and do not depend on the standard rate plans. Daily rates for this rate plan are managed on the Inventory page.


What derived rate plans can I create

  • Non-refundable: usually10% cheaper than the standard rate. If cancelled, the reservation amount is not returned.

  • Early bird : has a release period on the rate plan level and a discount that makes the rate cheaper than the standard rate of the room type, giving your guests a better price for advanced bookings.

  • Breakfast included: as it has a meal included, it is normally more expensive than the standard rate.

  • Single-use : if your room is normally meant to be used for more than 2 people, but sometimes it could be booked for 1 person, you can create a rate plan called "double single-use" with a discount from the standard rate (10% for example, or a specific amount).

💡 You can create derived rate plans that can act as permanent promotional rates.


What are the benefits of having my rate plans derived versus managing them independently?

Derived rate plans

  • Less effort on your part — by changing the standard rate of a room you know that all the derived rates will change automatically, following your set rules, preventing you from having to change prices manually for all of your rates.

  • Better organisation and structure of your inventory — easier to identify which rate plans require manual changes.

  • They are efficient — fewer human errors means fewer pricing mistakes.

⚠️ You can’t change prices manually for derived rates. In order to do that, you need to edit the rate plan to change the derivation. : Edit a reservation.

Independent rate plans

  • Full control of your pricing — manually change price on the Inventory page.

  • Flexibility to adjust pricing freely — these are the best option if you change your prices for breakfast rates, discounts, etc. very often.

⚠️ Changing prices manually can lead to more chances of human error.


I want to sell my rooms at a different price based on the number of guests booking the room

Ensure you set up your Occupancies and the Default extra adult/child/infant rates as they interact to define the final price depending on the number of guests booking the room.

➕ For example, if you normally sell the room for 100, and you set Included occupants to 2, Maximum occupants to 4 and all Extra adults/children/infants values to 20, the room could be sold in one of these 4 ways:

  1. A customer books the room for just 1 guest and pays 100 because it is within the Included occupants.

  2. A customer books the room for 2 guests, and they still pay 100 because it is equal to the Included occupants.

  3. A customer books the room for 3 guests, and they pay 120 because the first 2 guests are included, but the third needs to pay the extra, which was set to 20.

  4. A customer books the room for 4 guests, and they pay 140 because the first 2 guests are included, but the third and fourth need to both pay the extra, which was set to 20, for a total extra price of 40.

⚠️ Occupancy settings only affect your direct booking engine. If you need to change this for the channels, you will need to change this either in the mapping (if available on the integration for the channel) or in each channel’s extranet.


I created a derived rate and now I want to change it to independent

Once a rate plan is created, it cannot be changed from derived to independent or vice versa. You will need to create a new independent rate plan, follow the steps below:

  1. Create a new independent rate plan (setting it up as "Manage this rate plan independently"). This rate will replace the derived one.

  2. Note: The new rate plan name should be different from the original derived rate plan as two rate plans from the same room type cannot have the same name.

  3. Unmap the derived rate plan from your channels.

  4. Map the new independent rate plan with your channels.

  5. Delete the derived rate plan.

⚠️ You will not be able to delete a rate plan if there are past, present or future reservations without status cancelled or checked-out. If you attempt to delete it, you will see an error message if the rate plan has any open reservations. In the meantime, apply stop sells and wait until the last reservation has been checked-out before you delete the rate plan.


I want to sell my rate plan through a promo code only

Go to Setup > Property & Room Settings > Rooms & Rates > select the rate plan beneath the room type > select the Show only when a linked promotional code is entered checkbox > Save.
