What is a guest profile?

A guest profile is created for every unique First name, Last name, and email address combination to keep a record of every guest who has stayed at your property. The Guests page allows you to search and keep a record of all the guests that have stayed at your property, it contains all of your guests’ profiles. These records can be accessed, reviewed, and updated easily, allowing you to gain insights into your guests to better serve them in their future stays.

Your repeat guests may prefer specific rooms, extras, and views. Being able to record these preferences and offering special deals or seasonal offers can help keep bringing them back to your property.

💡 Note:

  • Guest details will be created using a combination of First Name, Last Name and e-mail address. First Name and Last Name are mandatory fields, while the e-mail address field is optional.

  • If you receive a reservation with guest details that match an existing guest profile in Little Hotelier, the reservation will be associated with the existing guest profile, and if the guest details don’t match an existing one, then a new guest profile will be created in Little Hotelier.

  • If there is no e-mail address in the reservation, a new guest profile will be created regardless of whether there is already a guest profile with a matching First Name and Last Name.


Create a guest profile

It is not possible to create a guest profile on the Guests page. The guest profiles populate automatically from the reservations that you have in Little Hotelier from two different sources within a reservation:

  • Details tab : every time the Primary contact details of a reservation are filled in with a unique combination of First name, Last name, and Email address a guest profile gets created.

  • Guests page : every time an additional guest is added to a reservation with a unique combination of First name, Last name, and Email address a guest profile gets created.


What details can be included on a guest profile?

Depending on what fields were filled in on your guest’s profile under a reservation, a guest profile can have more or less information. Find below all the fields that could be included:

  • Guest details

    • First name

    • Last name

    • Second surname

    • Email

    • Phone number

  • Identification

    • ID document type

    • ID number

    • Nationality

    • Issue date

    • Expiry date

    • Date of birth

  • Address

    • Organisation

    • Address

    • Country

    • City

    • State

    • Postcode

    • GDPR

    • Marketing emails (related to data protection laws): this shows if the guest consents to receive promotional emails from the property or not.

  • Recent bookings

    • Booking reference

    • Check-in

    • Check-out

    • Booked-on date

    • Room

    • Total

    • To pay

    • Primary contact

    • Invoice

  • Booking notes

  • Customer comments


Search for guests

  1. Click on the Guests page.

  2. In the search box, enter one of the following guest details:

    1. Name or surname

    2. Email

    3. Phone number

    4. Booking number

  3. The results will filter down below, according to your search.

💡 Don’t worry if your memory fails! You can write part of these details and Little Hotelier will still give you results.


Update a guest profile

  1. Search for the guest.

  2. Click on the name of the guest you wish to update. Alternatively, you can click on View/Edit profile at the far right of the guest’s name.

  3. Under the Guest details section, update or enter any additional details for the guest.

  4. Click on the Update guest details button.

  5. The new information will now be stored in Little Hotelier.

⚠️Note:

  • If you open a past reservation with a deleted guest profile, you will see asterisks () instead of the guest's information.

  • The Update guest details button only appears when you enter any new information.

  • You cannot save notes about a guest within a guest profile; you will need to add the note on reservations associated with that guest.


Delete a guest profile or remove a duplicate record

You can delete a guest profile from Little Hotelier. As per local data protection laws (like GDPR), a guest might be entitled to request for personally identifiable information to be deleted. Sometimes you might want to get rid of a duplicate record if some of the details are incorrect.

⚠️ Note:

  • If you open a past reservation with a deleted guest profile, you will see asterisks () instead of the guest's information.

  • Deleting a guest profile cannot be undone.


Delete a guest profile or remove a duplicate record for a past reservation

To delete a guest profile:

  1. Search for the guest.

  2. Click on the View/Edit profile o ption for the guest you wish to remove.

  3. Click on Delete profile at the upper right portion of the Guest details section.

  4. Click on Delete to confirm.

⚠️ You will not be able to delete a guest profile that has a reservation associated in the future or a reservation that is currently ongoing.


How can I delete a guest profile for an upcoming reservations?

You will have to replace the guest’s details on the associated reservation to create a new guest profile and be able to eliminate the original one:

  1. Locate the reservation on the Calendar page or the Reservations page.

  2. Open the reservation by clicking on it.

  3. Change the guest’s details:

    1. If the guest was the primary contact, you will need to replace the information on the Details tab > Primary contact with other guests’ details.

    2. If the guest was not the primary contact you will need to replace the information on the Guest tab of the reservation.

  4. A new guest profile will be created with the new guest information so you can delete the original profile (not associated anymore with a future reservation).
