View and export reservations
Go to My apps > Direct Booking > Reservations
Search for a reservation by Last name, Booking reference or Date range
Click Export to export all of the reservations being viewed
Click on the booking Reference to view a reservation in more detail
Note:
To comply with data protection regulations, guest information is concealed 180 days after a reservation’s check-out date.
Email or print a reservation
Go to My apps > Direct Booking > Reservations
Search for a reservation by Last name, Booking reference or Date range
Click on the reservation that you want to send via email or print
Click Resend or Print
Modify or cancel a reservation
Go to My apps > Direct Booking > Reservations
Search for a reservation by Last name, Booking reference or Date range
Click on the reservation that you want to modify
Click Modify reservation or Cancel reservation (cannot be undone)
Make changes and Save
The reservation will be marked as Modified or Cancelled in your booking engine and the updated info will be sent to your Channel Manager and Front Desk
Limitations on modifying a reservation
You can modify a reservation directly in your direct booking engine, with any changes recorded on the system and your guests notified of any necessary updates. However, there are some limitations regarding what reservation types and details can be edited.
Reservation types cannot be modified if:
the check-in date is in the past
the room rate booked for the reservation has been suspended or deleted
an extra 'Per Person Per Night', 'Per Room', or 'Per Room Per Night' was booked in the reservation
multiple room types have been booked in the same reservation
Reservation details cannot be edited if:
the room rate cannot include another room rate
the main guest name cannot be changed (due to anti-fraud measures)
You also cannot change any reservation details that would contradict your restrictions regarding minimum stay, maximum stay, stop sell, closed to arrival (CTA), closed to departure (CTD), included occupancy and release period.
Manage pending or expired reservations
Reservations become Pending when:
you have an integrated payment gateway with your booking engine
you have set up some room rates to require a deposit
and something goes wrong during the payment process
When this happens, the reservation will be Pending for 15 minutes, followed by Expired.
Activate or discard an expired reservation
The booking engine will not send notification emails to guests when a reservation activates or expires, so we recommend reconfirming reservations with your guests before activating or discarding them.
Follow the steps below to activate or discard Expired and Pending reservations.
Go to My apps > Direct Booking > Reservations
Select a date range
Select the Date type according to Check-in or Booked on
Choose Expired from the Status drop-down list
Click on the expired reservation you want to view
After confirming the reservation with your guest), click Activate Reservation or Discard Reservation (removes the reservation permanently)
