What is a package deal?

The package deal feature enables you to create a sales offer that includes a set number of nights.

You can also create more value for your guests by offering an attractive price for extra nights in addition to the package. Moreover, you are able to vary the pricing for the package deal based on your guest’s check-in day.

Mid-Week package deal:

Your Deluxe Cottage room rate currently is priced at $200 per night from Monday till Thursday.

You can create a Mid-Week Special - Deluxe Cottage with 3 included nights and 4 maximum nights at $450 for check-in on Monday. This means that the guest will only be able to purchase the package at this price if they check-in on Monday.

You can also offer your guests to stay an extra 4th night (Thursday) for just 100$ on purchasing the mid-week special package deal. In addition to this, your guests will be able to add extra infants/adults/children to that 4th extra night as well.

With the mid-week package deal, you have encouraged your customers to book an extra night and enticed them to stay longer, which resulted in your Deluxe Suite being booked throughout the week. This will translate into more revenue and also save you admin and cleaning costs of frequent check-in and check- outs.

Weekend package deal:

Your Deluxe Suite is currently priced at $250 per night.

You can promote this room rate by creating a 2-Nights Weekend Special with Romantic Dinner deal with 2 included nights at 450$ for a check-in on Friday and include a romantic dinner on Saturday night to entice guests to book this package for the weekend.

By creating various deals like the Weekend package deal and the Mid-Week package deal, you now have various ways to promote your rooms throughout the week.

Set up a package deal

To set up a package deal:

  1. Click the Setup tab

  2. Click the Rooms & Rates tile

  3. Click the rate plan tab

  4. Create a new rate plan or select the rate plan you want to sell as a package deal

  5. Select package deal from the drop down under the Dynamic Discount section

    • Note: You can either create a Stay Pay, Dynamic Length of Stay Discount or a package deal.

  6. Enter values in the following fields for the package deal:

    • No of Included Nights : The number of nights that are included in the package deal. The package deal is displayed on the booking engine only if the guests search for a number of nights either equal or greater than the included nights and equal or less than the max stay that you can manage through the inventory grid or the rate plan screen.

    • Charges for additional nights

    • Rate for included occupants : The Rate you want to charge for an extra night on top of the included nights

    • Extra Adult : The Rate you want to charge for the extra night with an extra adult

    • Extra Child: The Rate for an for the extra night with an extra child on top of included occupants

    • Extra Infant: The Rate for an extra night with an extra infant on top of included occupants

  7. Click Save

  8. Please ensure that to sell a package deal, you must link the package deal rate plan to a room rate.

When the package deal is selected and/or booked, the total in the reservation summary and the confirmation email will display the package deal breakdown.

The breakdown includes:

The number of ‘incl nights’ + any extra night rate and extra adult/child/infant rates for included and extra nights if applicable.

A couple books the Deluxe Cottage package deal for $300 with 2 included nights. They add one extra night (3rd night) at $100 and 2 extra adults for $200 each.

Let's see how this package rate will be calculated:

$300 - First 2 nights for 2 people
$100 - Third night for the included 2 people
$400 _ - Third night extra person costs (2 x $200)
$800 - Total to be paid
Note: Should extra person costs also need to be added onto the 2 included nights, these can be configured in the room rate settings. The extra person rate needs to be set for the total amount of the included days. For example if you set an extra person rate as $400 on the package room rate, this would equate to $200 per night per extra adult as the package rate is for 2 nights.

Now that you have created the package deal, go on to manage this room rate through the inventory grid.

Note: Currently, the booking engine does not allow the modification of multiple room types bookings with package deals.

Manage your package deals in the inventory grid

Once you have created the package deal, you can manage its price and availability through the inventory grid. The package deals will be displayed with a suitcase icon in the inventory grid.

To manage a package deal:

  1. Click the Inventory tab

  2. Locate the package deal on the inventory grid

  3. Ensure that the following information is entered into the inventory grid for the package deal:

  4. Availability: just like all the other room rates, the package deals will share the same availability set for their room type

  5. Rate: total rate charged for the No of Included Nights specified in the rate plan setup, excluding extra nights. This amount will be applied at the check-in date. For example: you are selling a 3-Nights Package for 300$ for a check-in on a Monday night, you can sell the same package for 500$ for a guest checking-in on a Friday night

  6. Incl Nights: displays the number of nights included in the package. This value cannot be changed from the inventory grid because it is set up at rate plan level. No of Included Nights in a package deal will override any Min Stay values set previously

  7. Max Stay: the maximum number of nights that the guests are able to stay for in this room. This setting cannot be less than the number of included nights for the package. Max Stay value set at the rate plan level will override the value in the inventory grid

  8. Stop Sell: check to stop selling this package deal on this particular date and will prevent the guests from booking and staying in this room.

  9. CTA : check to stop guest arrivals on this date

  10. CTD : check to stop guest departures on this date

Package deals bulk update:

You can use Bulk Update for the package deals similar to other room rates in the inventory grid with the following exceptions:

  1. Min Stay : Managed at the rate plan level as Included Nights.

  2. Hot Deals: Not available for package deals.

Set up seasonal overrides for a package deal

Seasonal overrides are automated scheduled adjustments that you can apply to package deals. This allows you to apply different package deal settings for different seasons without having to create another rate plan.

For example, you can apply a seasonal override to a package deal during the low season by offering an extra night for the duration of the stay. This saves you from creating another rate plan with a new package deal just for the low season.

To set up seasonal overrides for package deals:

  1. Click Setup

  2. Click the Rooms & Rates tile

  3. Click the Rate Plans tab

  4. Click on the rate plan for which you want to override the package deal

  5. Under Dynamic Discount, click the Add Seasonal Overrides link. The Add seasonal override tab appears.

  6. Select a Start Date and End Date

  7. Enter the Number of Included Nights

  8. Under Charges for Additional Nights , enter new values for Rate For Included Occupants , Extra Adults, Extra Child, and Extra Infant

  9. Click Save

The settings you configured here will override the rate plan’s package deal settings for the set time period.

You can create more seasonal overrides by clicking the Add Seasonal Overrides+ link from the General tab. When you create a new override, ensure that the dates do not overlap with an existing one.
