How can I manage a reservation with multiple rooms?

Little Hotelier allows you to easily create reservations that include more than one room.

There are a few things to consider:

  • If a reservation involves more than one room , it is not possible to edit the stay dates of each of the rooms separately, as changing the stay dates will affect all rooms within a reservation. If you need to adjust stay dates for each room individually, you will need to split the reservation by creating separate reservations.

  • If you need a separate invoice for a room in a reservation with multiple rooms, you will also need to split the reservation. If you need a separate invoice for a room in a reservation with multiple rooms, you will also need to split the reservation.

How can I add a room to a reservation?

If you wish to add a room to a reservation, you can follow these steps:

  1. Find the reservation where you wish to add a new room.

  2. Open the reservation and make sure you are on the Details tab.

  3. Click on the +Add another room button placed above the Booking summary.

  4. Make sure to fill in all the relevant fields and don't forget to press save

    • Room type

    • Rate plan

    • Room #

    • Adults

    • Children

    • Infants

    • Discount

After adding a new room to the reservation

If you look at your Calendar page, you will see that the new room added appears to be occupied by what looks like a new reservation. This block is not a new reservation but the original one. In fact, you can open it and see it shares the same unique ID of the original reservation, amongst other details.

💡You can think of these as "twin" reservations because they share the same ID and any change you make in one of them will trigger the exact change into the other. For example, let's say that:

  • You have a reservation with Room 1 and Room 2 added to it.

  • You double click on the reservation from Room 1 and change its status from Confirmed to Checked-in.

  • The "twin" reservation assigned to Room 2 will automatically show as Checked-in as well

How can I add different guests to each room of a multi-room reservation?

Now that you have assigned more than one room to the same reservation, you may want to also add each guest to their corresponding rooms:

  1. Find the reservation and open it.

  2. Jump from the Details tab to the Guests tab of your reservation.

  3. You will see the rooms you have added on the Details tab. Simply click on +Add new guest at the right of each room.

  4. Fill in all guest details required.


Splitting a reservation

What's the difference between a multiple room reservation and a reservation that needs to be split?

The main difference is that a reservation that needs to be split will behave as two different reservations, with different IDs and separate invoices. In contrast, a multiple room reservation behaves as one reservation, with just one ID and one possible invoice.

⚠️ Please, consider:

  • If you split a reservation, you will have to manage two reservations independently.

  • If you have a reservation with multiple rooms, bear in mind you cannot manage each room separately.

In which scenarios do I need to split a reservation?

You might find it more convenient to split a reservation under some of the following circumstances:

  1. No availability for the same room on consecutive nights.
    This would occur when there is no availability for a specific room for the whole stay, but there are two different rooms available that can be booked for the chosen dates. A reservation of this type will require the guest to change rooms halfway through the stay.
    💡 Let's say that: Your Individual room is booked from the 19th to the 20th. You have a guest interested in staying with you from the 15th to the 20th in your Single room. Your Individual room is not available for the night of the 19th, but you have a Double room available for that night. You may want to suggest the guest stays in the Single room for the first few nights and in the Double room the last night (with no additional cost, if you decide so).

  2. Upon the guest’s request.
    The guest's intention could be to stay in two different room types.
    ➕ Your guest might need to work for the first few days and just need a very basic room, but they could be on holiday towards the end of their stay and prefer a more spacious room with views.

  3. Stay dates for each room are different.
    If a reservation involves more than one room, your guests might all stay in different rooms. Therefore, some of them might want to stay more days than others, which would mean that each room has a different length of stay.

  4. If you need an invoice for each room.
    There cannot be more than one valid invoice for each reservation. If your guest requires two invoices for the same reservation, you will have to split it, so each reservation has its own invoice.

How do I split a reservation?

To split a reservation, you will need to remove the room that needs to be separated from the original reservation. To remove a room from a reservation, just take the following steps:

  1. Find and open the reservation.

  2. Go to the Details tab.

  3. Click on the red X that appears on the right side of the room type when you hover over the room type bar.

  4. Once it is removed, you can create a new reservation for only this room.

⚠️ If the original reservation contained several rooms, with different stay dates, you would need to delete each of the extra rooms and create single reservations for all.


My guest would like the reservation to be under a business name

If a guest is on a business trip, they might require their reservation invoice to be generated under their company's name. Little Hotelier does not have an option to distinguish between a person or a company, but can still generate a company name on the guest's invoice. Just follow these simple steps:

  1. Find and open the reservation.

  2. Add the company name under the Details tab > Primary contact section. For example, if the company is called Little Hotelier BnB, you can add it as follows:

    • First name : Little Hotelier

    • Last name : BnB
      💡The invoice won't show the words "first name" or "last name"; it will just show: Little Hotelier BnB

  3. Add the company's tax number in the ID number field on the reservation’s Details tab.
    💡 You can add "Tax ID: 123456" to this field, and this information will show just below the company name on the invoice.

  4. If needed, you can add additional company address information under Organisation.

⚠️ In addition to filling in the Primary contact details with the company's information, we recommend adding your guests' details in the Guests tab of the reservation.
