Reservation confirmation and update messages in Guest Engagement

How to set up scheduled messages in Guest Engagement to be sent when a reservation is modified.

💡 Guest Engagement: If you have Guest Engagement, you can set up your own reservation confirmation messages in Guest Engagement. These are sent in addition to the channel's e-mails.

Guest Engagement confirmation messages are sent as additional communications alongside the standard confirmation emails that guests automatically receive from the booking channel (OTA). These do not replace the channel's confirmation emails.

Set up a reservation confirmation message

In Guest Engagement, you can set up a reservation confirmation message that is sent to the guest when a new booking is made.

To set up a reservation confirmation message in Guest Engagement:

  1. Go to Guest Engagement > Communication > Scheduled messages.

  2. Next to Pre-stay, click Create new.

  3. Select Reservation confirmation.

  4. Create your message, including the subject line, and message body.

  5. In the Sending rules tab, under When should the message be sent? select Guest created from the drop-down.

  6. Click Save.

Set up a reservation update message

In Guest Engagement, you can set up a reservation update message that will be sent to the guest when their reservation is modified (for example, if stay dates have changed).

To create a reservation confirmation update message in Guest Engagement:

  1. Go to Guest Engagement > Communication > Scheduled messages.

  2. Next to Pre-stay, click the Create new button.

  3. Select Reservation confirmation.

  4. Create your message, such as adding the subject line, and adding content to the body of the message.


  5. In the Sending rules tab, under When should the message be sent? select Guest updated from the drop-down. A new setting Watch fields will appear.


  6. In the Watch fields drop-down box, select all relevant Reservation details that if changed, will trigger the reservation confirmation update message to be sent (such as a change to Arrival date or Departure date).

  7. Click Save changes.

Manually send or resend a reservation confirmation message

You can manually send a reservation confirmation message to a guest from their guest profile in Guest Engagement.

To manually send a reservation confirmation message:

  1. Go to Guest Engagement > Guests > Guest list.

  2. Click on a guest name to open their guest profile.

  3. In the Messages tab under Scheduled messages, find the reservation confirmation message you want to send/re-send.

  4. Click Send.

  5. In the Send message/Resend message confirmation pop-up, click Send to confirm.
