What is the virtual terminal?
For customers using Little Hotelier Pay, the virtual terminal allows you to process payments for walk-ins, extras or ad-hoc payments through the Little Hotelier Pay dashboard.
How do I process a payment using the virtual terminal?
Go to My apps > Payments > Virtual terminal
Enter a Description and Amount
(Optional) Enter a Surcharge (Amount or Percentage)
Enter the the card details:
Card number
Expiry date
Name on card
Security code
If the payment is successful, a ‘Payment Successful’ message will be shown. You can print a receipt and send it to your guests email address.
How do I refund a payment processed using the virtual terminal?
Go to My apps > Payments > Transactions
Search for the transaction and click it to open its details
Click Refund
Enter the Amount (full or partial)
Click Process refund
If the refund is successful, a ‘Refund Successful’ message will be shown. You can print a confirmation and send it to your guests email.
Notes:
Refunds must be issued within 90 days of processing initial payment
Card details are deleted 7 days after check-out and cannot be recovered.
It can take 5–10 business days for a refund to appear on the cardholder's bank statement. This is to comply with the Payment Card Industry Data Security Standards (PCI DSS) and General Data Protection Regulation (GDPR)
Once a refund has been processed it can’t be reversed
How do I generate a payment or refund confirmation?
Go to My apps > Payments > Transactions
Click on the relevant transaction
Click on Print Confirmation or Email Confirmation
Does the virtual terminal calculate taxes or promotions?
When you process a payment using the virtual terminal, taxes are not added and promotions are not discounted. You will need to calculate any applicable taxes or promotions and apply them accordingly.
What fees are charged for using the virtual terminal?
Fees are charged per transaction and vary based on your country, card network and card type. Fees are outlined in your Little Hotelier Pay activation form.
