How to manage your rates, availability and restrictions for your Inventory.

Introduction to Inventory

The Inventory is a grid where you can view and manage how your rooms are sold on each calendar day from the present day onwards. Each column represents a calendar day, and each row contains the rates and options for your rooms.

On the grid, rows are grouped by room type; within each room type are its rate plans, and within each rate plan are a list of its rates, availability, and restrictions.


Inventory views

You can view the Inventory in different ways by selecting the following buttons.

  • Show inclusions — this displays only the inclusions for each rate plan. You will see text fields where you can enter descriptions of these inclusions — for example, “Complimentary beverage at the bar”. To switch back to the default view, click Show inventory.

  • All fields — this is the default view. Each rate plan has several fields which you can learn more about in the section below.

  • Basic fields — this hides all of the restriction fields and only shows Available (in other words, the availability) and Rate for each rate plan.

💡 Note:

  • Inclusions are only shown to guests on the direct booking engine; they are not shown on your connected channels.


Rate plan fields

The Inventory grid contains the following fields for each rate plan depending on the that is selected.

  • Available — this field can only be viewed, not edited, because the availability is calculated automatically by using the number of rooms minus reservations and room closures.

💡 Note:

  • To reduce availability across a specific date range, you can create a room closure on the Calendar page.

  • The total availability for your property is displayed under All room types.

  • Rate — the base sale price of the rate plan.

  • The following fields are ‘restrictions’ because they apply limits to how rooms are sold.

    • Min stay — the minimum number of nights the rate plan can be booked for. (This overrides the ‘Default minimum stay’ of the room type or rate plan.)

    • Max stay — the maximum number of nights the rate plan can be booked for. (This overrides the ‘Default maximum stay’ of the room type or rate plan.)

    • Close website — prevents selling the rate plan on the direct booking engine.

    • Close channels — prevents selling the rate plan on all connected channels.

    • CTA (closed to arrival) — prevents check-ins but allows guests to stay during the date.

    • CTD (closed to departure) — prevents check-outs but allows guests to stay during the date.

    • Hot deals — labels the rate plan with “Hot!” on your direct booking engine (if hot deals are enabled) to highlight it is a promotional deal.

💡 Note:

  • To apply a stop sell, you must enable both Close website and Close channels.

  • Some channels do not support syncing restrictions, so these will need to be updated manually on their extranets.


Navigating through inventory dates

💡 It is not possible to view past dates on the inventory grid; they can, however, be viewed on the Calendar page.

The Inventory grid shows a span of several days, and by using the following buttons, you can navigate forwards or backwards to view a different date range.

  • < < Week’ — navigates backwards by one week.

  • < Day ’ — navigates backwards by one day.

  • Date picker — selects the first date of the displayed date range.

  • Day >’ — navigates forwards by one day.

  • Week >>’ — navigates forwards by one week.


Update your inventory

Follow these steps to update the Inventory:

  1. Go to the Inventory page.

  2. If necessary, select the relevant inventory view.

  3. If necessary, navigate to the relevant dates.

  4. Make your desired changes to any of the editable fields (Rate or restrictions).

  5. Click Save.

💡 Note:

  • Derived rates are not editable.

  • You can use the Bulk update tool to save time when making updates across multiple dates and rate plans.

  • Most channels have a ‘maximum update period’ of 1–2 years, so rates and restrictions beyond this limit will not sync to the channel.
