Create and manage Little Hotelier user accounts and permissions

Create and manage Little Hotelier users.

Add, edit and delete Little Hotelier users - these are user accounts that have access to your property.

Overview

A user account gives an individual staff member access to your property's Little Hotelier account. Set up permissions for each user account to control what they can access and manage within Little Hotelier.

All user accounts are created under the same property account. What each user can view and manage depends on the permissions set for their account.

Note:

  • User accounts give staff access to the same property Little Hotelier account

  • Each staff member needs their own user account with a unique e-mail address to access the property account

  • Sharing a single user login with the same email address and password is not permitted, for security reasons

MFA required: To protect your account from unauthorised access and phishing attacks, multi-factor authentication (MFA) is required to add, edit, and manage users.

To give one person access to more than one property, create a separate user account for them at each property.

Access Manage users

Who can manage user accounts? To add, edit, and delete other users and manage their permission levels, you need Manage users permission enabled. If you have user management permissions, you will see the Manage users option in the drop-down menu when clicking on your property name.

To access Manage users:

  • Click on your property name top right > select Manage users

If you do not have Manage users access and need it to add, edit, and manage other users, ask a colleague who already has Manage users permission to enable it for you. If that colleague no longer works at your property, the main contact at your property should contact our support team for assistance.


Create a new user account

To create a new user/add a new user to your property, you need Manage users permission enabled and multi-factor authentication (MFA) set up.

  1. Click your property name at the top right hand side > Manage users

  2. Click Add user

  3. Verify your identity with multi-factor authentication (MFA) when prompted.

  4. Fill in user details: email, name and preferred language

  5. Select the apps your user needs

  6. Choose user level

  7. Click Save

Notes:

  • New users will receive an activation email that is valid for 24 hours. Once activated, they’re ready to login.

  • Each staff member who needs access to your property must have their own user account with a unique email address

Note: Billing users are created separately to user accounts. Billing users are managed via click your property name > select Billing (not in Manage users).

Delete a user account

To remove a user’s access from your property, you can delete a user. Deleting is permanent, disabling a user is easier than deleting them.

Additional options

  • Disable/re-enable users: temporarily restrict access or grant it back as needed

  • Unlock users: help users regain access if they forget their password, this happens when a user has unsuccessfully attempted to log in 6 or more times and their account is locked. To unlock the account, the user will need to click Forgot password on the login screen and follow the steps on screen

  • Edit user permissions: modify app access and user level at any time

Note: The e-mail address for the user account cannot be edited. If you need to change the e-mail address, create a new user account with the correct e-mail address and delete the old account.

Using Existing Email Addresses

⚠️ Important: Using Existing Email Addresses

No activation email will be sent when creating users with email addresses that already exist in the system. This happens when:

  • Recreating a deleted user: If you delete a user and then create a new user with the same email address, the system will restore the previous user's details

  • Adding existing users to additional properties: When a user is linked to multiple properties and you add their email address to another property

What to do: You won't receive an activation e-mail - simply go to the login page and log in with your email address and password. If needed, click "Reset password" to reset your password. For users added to additional properties, log out and log back in - the newly added property will automatically appear under your account.

Updating user details

You cannot change the email address associated with a user, but users can update their name, phone number, and language for their own account:

  1. Click on your profile icon > select My account

  2. Edit your own account details as needed (other users cannot update these for you)

Each user must log into their own account to change these details. Users with User Management permission cannot edit the first name, last name, phone number, or language fields of other users.

Changing a user’s email address

Important: You cannot edit an existing user's email address. If an email address needs to be changed, you must create a new user account with the correct email address, then delete the old account.

Steps to change a user's email address:

  1. Note the current user's permission levels and access settings

  2. Create a new user account with the correct email address

  3. Set the same permission levels as the previous account

  4. Delete the old user account

  5. The new user will receive an activation email to set up their password

User account permissions

Admin users have full permissions. General users need specific permissions enabled for access.

To manage users and their permission levels, you need Manage users permission enabled and multi-factor authentication (MFA) set up.

General users can be granted these permissions:
