Managing payments & refunds

Frequently Asked Questions

Can I process refunds with an integrated payment gateway?
Yes, all transactions processed by an integrated payment gateway can be refunded to the original card.

What does record payment do?
You should record all payments not made with an integrated payment gateway. This creates a log of all transactions attached to reservations, enabling accurate invoices for guests and useful revenue reporting for your property.

Managing guest card information

Frequently Asked Questions

Where are guest credit card details stored?
Credit card numbers are securely stored in each reservation's details page. They can only be accessed by an admin user after entering a security code emailed to their address. CVV numbers are sent with the booking notification email as an attachment.

Will I always have access to a guest's credit card number?
No, credit card numbers are only accessible up to seven days after a reservation's check-out date.

How will I know if a card is invalid?

  • If you have Little Hotelier Payments or another payment gateway integrated an invalid card symbal will be visible on the reservation. Contact the guest to request a new credit card.

  • If you're processing payments using another method and not taking deposits, we recommend charging a very small fee to validate a card's details.

Setting up a payment gateway

How do I set up a payment gateway?
You can see which payment gateways are available in your region by clicking Setup Payment Gateways and signing up from there.

I'm already using a payment gateway, can I still use it?
Little Hotelier is partnered with selected payment gateways which allow automated transactions and integration into the app. If we aren't partnered with your payment gateway you can still use it, but you'll need to manually process and record payments in Little Hotelier.
