Overview of Room Rates

Important to know:

  • To create, edit or delete a Room Rate, go to Setup > Property & Room Settings > Rooms & Rates

Overview

Create Room Rates to sell your Room Types in different ways. Each plan sets unique rules for selling a room, like discounts, cancellation policies, or minimum stays.

Here are three common Room Rates:

  • Standard: base rate for all other Room Rates

  • Non-refundable: typically cheaper than the standard and doesn’t allow refunds

  • Breakfast included: standard rate plus breakfast

Create Room Rates for special occasions, lengths of stay, and booking windows. Maximise occupancy on your terms.

Notes:

Adding a Room Rate in Front Desk:

  • Automatically creates a Room Rate in Direct Booking

  • Doesn’t automatically create a Room Rate in your connected channels. Manual setup is required on each channel account.

To create a Room Rate:

  1. Go to Setup > Property & Room Settings > Rooms & Rates > select +Add Room Rate under the Room Type

  2. Fill in the mandatory(*) fields and click Create

Important: Send a flush after creating a Room Rate

To ensure your new Room Rate is updated for any connected channels (not required for Direct Booking), you will need to:

  1. Go to Channel Manager and map the Room Rate

  2. Return to Front Desk and flush the data

How to send a flush

To send a flush:

  • Go to Setup > Property & Room Settings > Rooms & Rates > select your Room Rate beneath the Room Type > General > scroll down and click on Flush

When to use flush:

  • After creating new Room Rates

  • When rate prices aren't updating on booking channels

  • If availability changes aren't syncing to booking sites

  • When booking channels show outdated rate information


Edit

Here are some reasons why you might need to edit a Room Rate:

  • change the name of the Room Rate

  • modify any of the default minimum or maximum stay settings

  • change the release period

  • modify rate settings or maximum occupancy settings

  • add or remove promotions.

  • add, edit, or remove inclusions

  • change the extra occupancy rates (Adult, child, and infant rate)

  • change the derivation type (percentage or amount) and pricing difference (only for derived room rates)


To edit a Room Rate:

  1. Go to Front Desk > Setup > Property & Room Settings > Rooms & Rates > select the room rate beneath the Room Type > General

  2. Update the information you would like to edit

  3. Save any changes

  4. Remember any changes to the rack rate need to be updated via Front Desk > Inventory

Note:

  • Changing a room type’s rack rate does not automatically update the inventory rates for that room type or any linked room rate for existing dates. To update rates for existing dates already on your calendar, first update the rack rate, then go to Front Desk > Inventory and use Bulk Update to apply the new pricing to those specific dates.

  • If you need to update daily pricing for specific dates without changing the rack rate, go directly to Front Desk > Inventory and update the rates for those dates.

Send a flush to sync changes

When you edit Room Rate information like pricing, restrictions, or settings, these changes need to be pushed to your connected booking channels.

To flush rate updates:

  1. Go to Setup > Property & Room Settings > Rooms & Rates

  2. Select your Room Rate beneath the Room Type

  3. Click General

  4. Scroll down and click Flush

What gets updated when you flush:

  • Rate pricing changes

  • Availability updates

  • Minimum/maximum stay restrictions

  • Room settings and inclusions

  • Inventory levels


Delete

Deleting a Room Rate is permanent! Here's what happens when you delete a Room Rate:

  • You can only delete a standard Room Rate by deleting the associated Room Type.

  • Room rates with active reservations cannot be deleted until all attached reservations are checked out or canceled.

Channels

  • Deleting a Room Rate from Front Desk will unmap its connection to all channels.

  • Tip: delete the Room Rate from each connected channel, then Front Desk to avoid overbookings

  • If a guest books a deleted Room Rate on a channel, you'll need to create the reservation manually

Reservations

  • You can't delete a Room Rate with active bookings unless they are cancelled or checked-out. Apply stop sells and wait for all reservations to be completed before deleting the Room Rate

  • Don’t move reservations to other rooms/rates/physical rooms just to delete a Room Rate as it can lead to overbookings and missing modifications or cancellations.

To delete a Room Rate:

  • Go to Setup > Property & Room Settings > Rooms & Rates > select the Room Rate beneath the room type > General > scroll down and Delete.
