Overview of the Front Desk Calendar

The calendar gives you an overview of your property in a single glance. You will be able to see confirmed reservations, reservations about to check in or check out, checked-in or checked-out reservations, room closures preventing reservations in some of your rooms, how many rooms you have available and if your reservations have been fully paid.

To navigate through the calendar, create reservations, or apply room closures, make sure to click on the Calendar page.


Calendar basics

How does the calendar work?

Under the Calendar page, you will find all the reservations that are confirmed, checked-in, and checked-out. The only bookings that you won’t find here are those that have been cancelled; once a reservation gets cancelled it disappears from the calendar.

💡 You can find all reservations, including those that have been cancelled, on the Reservations page.

In your calendar, you can find each of your room types and their physical rooms. The amount of physical rooms available to be booked determines the availability on the Inventory page.

➕ If your double room type contains rooms 1, 2, and 3 and they have no reservations or room closures for a specific day, the availability shown on the Inventory page for that day would be 3.

How can I change the name or number of a physical room?

To rename physical rooms or change their number:

  1. Click on the physical room whose name/number you wish to change.

  2. The room settings will open. Here, you can edit the physical room name.

  3. Don’t forget to Save.

How can I hide and expand/collapse rooms in the calendar?

To hide or unhide room types' physical rooms and their unallocated rows, simply click the name of the room type. You can also click on the expand/collapse button located at the upper-left corner of the calendar grid, right next to the dates. When you click on it, you can expand all physical rooms for each room type to show them all or collapse them all at the same time to hide them.


Navigating through the calendar

How many days can I see on my calendar?

You can choose whether you want to display 14 or 28 days at a time on the drop-down menu at the top left of the Calendar page.

How can I move through the calendar dates?

There are different ways to move through the calendar. We will review all the options below.

💡 Little Hotelier will remember the date you had opened on the last time you were on the Calendar page and will display it when you return. Suppose you went to December 23 and left the Calendar page to go to the Setup page, you will see December 23 when you return to the calendar. If you want to go to today’s date instead, you can always click on View today.

How can I go to today’s date?

Clicking on the View today button will quickly display today's date as the first date in your calendar grid, even if you've browsed past or future dates.

How can I quickly go to a past or future date in the calendar?

You can click on the date picker and a calendar will display so you can select directly what date you wish to see in the calendar.

What are the arrow buttons in the calendar for?

You can go back and forth by days or weeks using the buttons to the left and right of the date:

  • If you are viewing 14 days at a time, the calendar has buttons to move:

< 1 day backward

<< 7 days backward

<<< 14 days backward

> 1 day forward

>> 7 days forward

>>> 14 days forward

  • If you are viewing 28 days at a time in the calendar, the buttons with three arrows will allow you to move:

<<< 28 days backward

>>> 28 days forward


Room closures

What is a room closure?

A room closure is a temporary block that you can put on a room for a certain range of dates so it won't be available for booking during that period.
You can create a room closure for a renovation, maintenance, or when waiting to add a reservation on it later.

💡 A room closure is shown in red on the Calendar page.


➕ If you want a room to be fully closed for the entire calendar forever, you might want to fully delete the room instead of applying a room closure. Learn more: Create, edit, or delete a room type.

How does room closure work?

Room closures decrease the availability of the room type shown in the Inventory page for the selected dates. Opening a room closure does the opposite: it increases availability.

Remind me how the availability works?

Your room type’s availability is being calculated by Little Hotelier with the number of rooms you have for a specific room type minus the reservations and room closures on the calendar for this room type. That means that if you have 5 double rooms for today but 2 are booked and 1 has a room closure, the availability on the Inventory page would show 2.

⚠️ A room closure must not be confused with the Close website or Close channels, which apply stop sells on your rate plans.

What is the difference between room closure, Close website, and Close channels?

  • The Room closure tool reduces the room availability on your Inventory page by removing a physical room from the availability on all your connected channels and your Little Hotelier direct booking engine.

  • The Close website restriction allows you to stop a rate plan from being sold on your Little Hotelier direct booking engine.

  • The Close channels restriction allows you to stop selling a rate plan on all your connected channels at once, excluding your Little Hotelier direct booking engine.

💡 If you wish, you can apply all of these options at the same time.

Room closures can only be applied to physical rooms on the Calendar page, while the Close website and Close channels can only be applied to rate plans on the Inventory page.

How can I add a room closure from the calendar?

There are two ways to apply a room closure:

  1. Clicking, dragging and dropping on the calendar and selecting Room closure.

  2. Clicking on the Room closure button at the top right.

In both cases, a window will open, where you can fill in all the applicable fields:

Create room closure

  • Room: choose a room to be closed from the drop-down menu.

  • Start date: if no day is selected, today’s date will show up by default (make sure to override it if you wish to close the room on different dates). Be aware that the Start date is also included in the room closure.

  • End date: if no day is selected, tomorrow’s date will show up automatically (make sure to override it if you wish to close the room on different dates). Be aware that the End date is also included in the room closure.

  • Description: enter a description that allows you to remember why you closed the room. Your guests won’t be able to see this description; it is internal.

Don’t forget to click on Save!

How can I edit a room closure?

  1. Go to the Calendar page.

  2. Locate the room closure that you would like to edit and click on it.

  3. A pop-up window will appear. Here, you can modify the room closure settings.

  4. Don’t forget to click on Save!

💡 If you wish to quickly modify the length of the room closure, you can also do it by holding the end tip of the room closure and dragging the marker to the left (to make it shorter) or right (to make it longer). This will modify the End date of the room closure.

How can I reopen a room closure?

⚠️ Reopening a room closure will increase the room availability of the room type in your Inventory page automatically: increasing the availability on your connected channels and on your Little Hotelier direct booking engine.

  1. Go to the Calendar page.

  2. Locate the room closure that you would like to reopen and click on it.

  3. A pop-up window will appear. Make sure to click on Reopen room.


Create and view reservations in the calendar

How can I create a reservation from the calendar?

There are two ways to create a reservation from the calendar page:

  • Clicking, dragging, and dropping on the calendar and selecting Reservation.

  • Through the Reservation button.


Viewing and editing reservations on the calendar

What do the colour blocks mean?

Reservations and room closures display as coloured markers from their start date to their end date under the room type and physical room where they were created.

  • Orange: confirmed reservation yet to check in.

  • Green: checked-in reservation yet to check out.

  • Grey: checked-out reservation.

  • Blue: confirmed reservation on Unallocated, meaning that it has no physical room assigned to it.

  • Red: room closure blocking the physical room from being booked.

  • Light grey: reservation that is being booked and currently has an incomplete payment. It is popularly called “a ghost of a reservation” by our customers.

➕ Some reservations may also have a small red triangle displaying at the top right corner of the coloured bar. It means that the reservation still has an outstanding amount to be paid.

How can I see a snapshot of a reservation on the calendar?

Hovering or clicking over the little magnifying glass on the left side of the booking marker will display basic information about the booking:

  • Reservation ID (booking reference)

  • First name and last name of the Primary contact

  • Primary contact details

    • Guest e-mail

    • Phone number

    • Guests adult, children, infant

    • Notes

    • Guest comments

  • Booking details

    • Stay

    • Arrival time

    • Booking source

    • Rooms on booking

  • Reservation payment summary
    💡 If paid, it will display the word Paid in green on top, and the background is light green; if unpaid, it will display the word Unpaid in red on top, and the background in pink.

  • Booking total

  • Total outstanding

  • Add payment button

  • Cancel reservation button

  • Print button

  • E-mail button

  • Edit button

  • Reservation status button


What can I do with a reservation from the calendar?

Edit a reservation

  1. Click on the right side of the booking marker to open the reservation.

Edit the reservation details and Save.

Change the length of stay of the reservation

You can quickly modify the arrival or departure of your guests by holding and dragging a reservation on the calendar.

  • To change the check-out date: hold the end tip of a booking marker and drag it to the left.

  • To change the check-in date: click on the reservation and hold and drag it to right.

Move a reservation

You can drag and drop a reservation from any point of the reservation rectangle. This way, you can change the following:

  • The physical room where the reservation has been allocated.

  • The room type where the reservation has been allocated.

  • The check-in date of the reservation.

  • The check-out date of the reservation.

Change the status of a reservation

⚠️ You cannot check in a reservation before the check-in date. You cannot check out a reservation before the check-out date.

  1. Hover or click over the little magnifier on the left side of the booking marker.

  2. Depending on the current status of the reservation, the status button will show a different word:

    • If the button shows Confirmed, hovering over it will quickly change the wording to Check in.

    • If the button shows Check in, hovering over it will quickly change the wording to Check out.

  3. Click on the Confirmed/Check in button.

💡 You can also click on the down arrow at the right of the status button to choose any of the statuses: Confirmed, Check in, or Check out. This tool is especially useful if you changed the status by mistake.

Cancel a reservation

⚠️ You can only cancel confirmed reservations. If your reservation has been already checked in or checked out, you will need to change it to Confirmed to be able to cancel it. Learn more: Edit or cancel a reservation.

You can quickly cancel a reservation by following these steps:

  1. Hovering or clicking over the little magnifier on the left side of the booking marker.

  2. Clicking on Cancel reservation.

  3. Confirming by selecting Yes, I am sure.

💡 An e-mail notification will be sent to the reservation’s Primary contact e-mail address.

Add a payment on a reservation

  1. Hover or click over the little magnifier on the left side of the booking marker.

  2. Click on the Add payment button.

  3. The reservation will be opened.

  4. Depending on if you have a payment gateway set up, you will see one of the following:

    • If you have no payment gateway set up in your Little Hotelier, you will see the Record payment tool.

    • If you have Little Hotelier Payments set up in your Little Hotelier, you will see the Process payment tool.

💡 If you are using any other payment gateway and you see the Process payment option, it means that your payment gateway allows you to charge your guests from Little Hotelier.

Print reservation details

  1. Hover or click over the little magnifier on the left side of the booking marker.

  2. Click on Print.

Choose one of the options below:

  • Registration form

  • Invoice

  • Summary

E-mail reservation details

  1. Hover or click over the little magnifying glass on the left side of the booking marker.

  2. Click on E-mail.

Choose one of the options below:

  • Invoice

  • Summary

  • Confirmation


Unallocated reservations

What is the Unallocated row for?

The Unallocated row in your Calendar page holds reservations that are not assigned to a physical room yet. These unallocated reservations are valid and Confirmed reservations.

⚠️ Unallocated reservations count the same as allocated reservations and reduce the availability on your Inventory page.

How can I use the Unallocated row?

You can use the Unallocated row to reallocate reservations if a room type is fully booked.

For example, you have three double rooms and they are fully booked, but you want to change which guest stays in which room number. To reallocate the reservations, move one of the reservations into Unallocated, and then allocate the other reservations the way you want. Finally, move the reservation back to a physical room.

How can I allocate in a room my unallocated reservations?

You can move them out of the Unallocated row by doing one of the following:

  • Dragging and dropping them to an available room for the dates applicable.

  • Opening the reservation and editing its Room # field and/or its Room type field.

Why would a reservation fall under the Unallocated row?

Find below the most common reason why a reservation might fall under the Unallocated row:

No consecutive nights under the same room type are available

Let’s explain this with an example: your property is fully booked but you received two cancellations and now you have:

  • One night free in room 4 for today.

  • One night free in room 5 for tomorrow.

  • Both rooms belong to the double room type.

  • The rest of the property is fully booked.

Suppose you get a reservation for your double room for two nights checking in today and checking out the day after tomorrow. The reservation will drop under Unallocated as it cannot be fully allocated in any of your rooms.

Most of the time, you might be able to rearrange your reservations and make space for the new one so it is under the same physical room for the whole stay.

⚠️ On rare occasions, it might not be possible to rearrange your reservations; to avoid this from happening, we advise you to consider applying a room closure on one of the rooms so your guests don’t have to change room halfway through their stay.

Manual overbooking created by a Little Hotelier user

When you create a reservation manually, you will be asked to enter the Room # to assign to the reservation. If you leave this field blank, regardless of room availability, the reservation will go to the Unallocated row of the calendar.

An overbooking from a connected channel
When a reservation is booked from your Little Hotelier direct booking engine or connected channels, Little Hotelier allocates a room for the reservation automatically.

The reservation goes to Unallocated if the system is unable to find an available room for the room type to accommodate the reservation.
