Customise booking engine display settings

Default Booking Engine Search Criteria

To set your default length of stay and guests:

  1. Go to My apps > Direct Booking > Setup > Property > General

  2. Edit the values under Default Booking Engine Search Criteria

  3. Click Save

Room Type Calendar

When a room type is unavailable, guests will still be able to search for available dates for their preferred room type.

Availability Display settings

To customise these settings:

  1. Go to My apps >Direct Booking > Setup > Property > Customisation

  2. Edit each display option to match your preferences

  • Hide unavailable rates
    Help guests find their perfect stay quickly and easily by hiding unavailable rates. When a room type is unavailable, the room type calendar provides a convenient way for guests to find alternate dates.

  • Alert guests when inventory is _ rooms or less
    Set an inventory alert at _ rooms remaining to let guests know availability is limited.

  • Alert guests when release period is _ days or more
    Set a release period (_ days or more) to trigger an "Early Bird Special" alert on eligible rates.

  • Hide public rates when a Promo Code is applied
    Show only applicable rates when a promo code is used.

Booking Settings

  • Allow guests to add additional roomsEnable/disable guests from being able to search for and book more than one room on your booking engine.

Enquiry Settings

Guests can send enquiries directly through your booking engine. Set up your preferred email address in Setup > Property > General > Email Contacts.

  • Enquiry OnlyChecking this option disables online bookings. Guests will need to send an email to make a reservation.

Checkout/Guest Details

Guests only need their name and email to start, but additional info like phone number and address can be required when confirming a booking. Set this up in My apps > Direct Booking > Setup > Property > Customisation > Checkout/Guest details.

  • Require guest phone number
    Select if you want guests to provide their phone number.

  • Require guest address
    Select if you want guests to provide their address.

  • Enable GDPR consent?
    Select this option if you want guests to consent to receiving marketing emails. Enter your GDPR consent text (max 170 characters) which is displayed in the GDPR consent checkbox.

  • Collect referral information?
    Check this option to collect referral information and learn how guests found your property. Delete or add more options to this list by using a pipe symbol (|).

  • Include an optional custom field
    Create a custom field on the booking engine to capture additional guest information.

Occupancy search criteria for your booking engine

Control the guest selector that guests see when searching for rooms. Set the maximum selectable numbers for adults, children, and infants, and whether infants/children count toward the room's maximum occupancy. This determines what combinations guests can pick at the start of the booking flow, before room and rate availability is shown.

To configure occupancy selection:

  1. Go to My apps > Direct Booking > Setup > Property > Customisation

  2. Under Configure occupancy selection on booking engine, edit the following:

  3. Maximum Adults: Select the maximum number of adults guests can choose when searching.

  4. Maximum Children: Select the maximum number of children guests can choose when searching. To hide the option to select children from the guest view, select "Hide children selector" from the dropdown.

  5. Maximum Infants: Select the maximum number of infants guests can choose when searching. To hide the option to select infants from the guest view, select "Hide infant selector" from the dropdown.

  6. The maximum occupancy of the room includes adults, children, and babies: Tick this box to include all three occupancy types when calculating the maximum occupancy of a room during search.

Note: To configure the maximum occupancy for individual room rates (the actual capacity of each room), go to My apps > Direct Booking > Setup > Rooms and rates, then edit each room rate and update the maximum occupancy fields.

Theme

Customise your booking engine's look and feel! Select a primary colour using its HTML hexadecimal code to personalise buttons and key elements.

Use a colour code picker to choose a primary colour that aligns with your branding.

To customise the colour theme:

  1. Go to My apps > Direct Booking > Setup > Property > Customisation

  2. Under Theme, enter the hexadecimal colour code (eg; FF5D3A) as your primary colour

Group and sort rooms & rates

Group your Room Types & Room Rates (wedding packages, corporate deals) for easier navigation. This order will be displayed in both your guest facing booking engine and your Inventory in Direct Booking.

To group and sort:

  1. Go to My apps > Direct Booking > Setup > Booking Engine Settings > Room Types

  2. Select Customise room order to reorder

  3. Drag and drop your rooms and rates to rearrange the order

To group and sort room rates in the Property Availability Grid widget

  1. Go to My apps > Direct Booking > Setup > Booking Engine Settings > Room Rates

  2. Click Create to create a new group if required.

  3. Drag and drop to reorder and group room rates on the availability grid widget

  4. Any changes made will be saved automatically
