Customise guest emails

Personalise guest communications for Little Hotelier: booking confirmations, cancellations, pre-arrival, and post departure e-mails.

Guest e-mails are the communications your property sends to guests at each step of their booking. You can personalise the subject line, header image, and message text so every guest e-mail reflects your property's branding.

Navigate to Front Desk > Setup > Emails > Guest Emails to set up these templates for Little Hotelier guest communications:

  • booking confirmations

  • cancellations

  • pre-arrival reminders

  • post-departure thank-yous

💡 If Guest Engagement is included in your Little Hotelier subscription, some guest messages may also be managed and customised in My Apps > Guest Engagement.

Available email templates

Default templates

  • Confirmation details sent immediately after booking

  • Tick Send guest notification emails to guests to send automatic emails whenever a reservation is created (requires email address in reservation record)

  • Cancellation confirmation email sent when a booking is canceled

Optional templates

  • Reminder email sent before guest arrival with configurable timing

  • Thank you email sent after guest checkout with configurable timing

Enable booking confirmation emails for guests

  1. Go to Front Desk > Setup > Emails > Guest Emails

  2. Click Edit next to Guest Notification

  3. Tick Send guest notification e-mails to guests

  4. Click Save

Send a booking confirmation email for manual bookings created in Front Desk:

  1. Open the reservation.

  2. Click on Email > Confirmation.

Customise guest emails

  1. Go to Setup > Emails > Guest Emails

  2. Click Edit on the template you want to modify

  3. Personalise text and add images

  4. Preview changes before saving

Terms & Conditions

The Terms & Conditions that appear in your guest emails are pulled directly from your property settings. To review or update these:

  1. Go to Setup > Property & Room Settings > Property Details > Policies

  2. Edit your Terms & Conditions

  3. Save changes

These changes will automatically update in all email templates where Terms & Conditions appear, ensuring your guests always receive your current policies.

Email fields

All templates

  • Subject line

  • Header image and text:

  • Footer image and text

Pre-arrival & Post-departure templates (only)

  • Enabled

  • Days before/after check-in/checkout

Send a test email

  • Edit the template

  • Click Preview to see changes

  • Enter an email address in the To field

  • Click Send Test Email

Image notes

  • Use complete URLs (http:// or https://)

  • Use .jpg, .gif, or .png formats

  • Max size: 600x210 pixels

  • Pre-arrival emails may not be sent for bookings made after the set timeframe
